Introduction to the eMail Manager Application

Overview of the Process
The eMail Manager Application is basically composed of two programs or modules. The first one is called the eMail Monitor Module and the other one is called the eMail Manager Module. For this application to serve its purpose MS Outlook 2000 must be installed in a server computer and must be setup properly. This application utilizes MS Outlook 2000 to send and receive emails. The received emails and the corresponding attachment or attachments are stored in a database and a separate location in the server computer, so that a centralized access and management of emails is achieved.

eMail Monitor Module (eMon)
The eMail Monitor Module (eMon) is responsible in extracting the incoming emails and the corresponding attachments from MS Outlook 2000 and deleting the read mails after transferring the emails to the database and the attachments to a separate folder. This module is also tasked to send emails created in the eMail Manager Module (eMgr). All new emails or reply emails created in the eMail Manager Module are sent by the eMail Monitor Module to MS Outlook 2000 and instruct it to do a send and receive process therefore effectively sending outgoing emails to the desired recipients through the internet.

eMail Manager Module
The eMail Manager Module (eMgr) combines the functionality of an emailing program and the relational database management program. All incoming emails are stored in a database so that a centralized access is achieved and managing of all company emails simpler. Emails can be marked as read by users by placing his or her initial manually in a designated column, indicating that these emails had already been taken cared of by a company staff. Emails can also be flagged as acknowledged, indicating that no replies are needed. Alternatively an email can be marked as completed to indicate that all discussion regarding the subject of this particular email is completed or over. Filters are available so that certain group emails can be viewed (Read, Not Read, Done, Not Done, Replied, Not Replied and the like).
